Cancellation – Refund Policy

1. Cancellation / No-Refund Policy

1.1 Booking & Payment

  • A reservation is confirmed only after full or partial payment (as determined by Vibes Kanthalloor) is received, and you receive a booking confirmation from us.
  • The booking is personal and non-transferable except with our written consent.

1.2 Cancellation Window

  • If you cancel within 10 days of your scheduled check-in / commencement date, no refund will be provided (this includes deposit, advance payments, etc.).
  • If you cancel more than 10 days before the scheduled check-in date, we may (at our discretion) allow a refund or credit minus an administrative charge.

1.3 How to Request Cancellation

  • All cancellation requests must be made in writing (email or registered letter) to Vibes Kanthalloor’s official contact address.
  • The cancellation date is counted as the date we receive your written request.

1.4 No-Show / Early Departure

  • If you fail to arrive (no-show) or depart earlier than your booked period, no refund or credit will be given for the unused portion.
  • You will still be responsible for the full booking charges unless otherwise agreed in writing.

1.5 Exceptions

  • In exceptional cases (force majeure, severe illness with medical proof, etc.), the management may — at its sole discretion — provide a refund or partial credit.
  • Any approved refunds will be processed within 30 days of cancellation.
  • This clause does not create an obligation to refund; it’s a discretionary safety valve.

2. General Terms & Conditions

Below is a set of commonly used terms & conditions that you should tailor for your operations.


2.1 Definitions

  • “Guest” means any person who has made a booking or is staying/using services with Vibes Kanthalloor.
  • “Facilities / Services” means accommodation, meals, events, guided walks, workshops, etc., offered by Vibes Kanthalloor.
  • “Management” or “we / us / our” refers to Vibes Kanthalloor and its authorized representatives.

2.2 Booking & Payment

  • All bookings are subject to availability.
  • We reserve the right to refuse a booking or cancel a booking at our discretion (e.g. safety, overbooking).
  • Any special requests (dietary restrictions, room preferences) must be communicated in advance; we will attempt to honor them but cannot guarantee.

2.3 Check-In & Check-Out

  • Check-in time is [specify time, e.g. 2:00 pm].
  • Check-out time is [specify time, e.g. 11:00 am].
  • Late check-out may incur additional charges, subject to availability.

2.4 Guest Conduct

  • The guest shall use the premises peacefully and shall not cause disturbance, nuisance, or annoyance to other guests or neighbors.
  • Smoking, alcohol, or prohibited substances may / may not be allowed (specify your policy).
  • Pets are / are not allowed (state clearly).
  • Guest is responsible for loss or damage caused by them, their invitees, or their negligence.

2.5 Health & Safety

  • Guest must observe all safety instructions, use of facilities (equipment, trails, etc.) at their own risk.
  • We are not liable for loss, damage, or theft of personal belongings unless proven negligence by us.
  • Guest must have valid travel / health insurance (especially for adventure or outdoor activities).
  • Guest must disclose any medical condition(s) in advance which might affect their stay or participation.

2.6 Force Majeure

  • Neither party shall be held liable for delays or failures to perform due to force majeure events (e.g. natural disasters, pandemics, strikes, government restrictions).
  • In such cases, we may (at our discretion) offer alternative dates, credit, or (rarely) refund.

2.7 Changes by Management

  • We reserve the right to modify the facilities, schedules, itineraries, or services (e.g. change of menu, room allocation) due to unforeseen circumstances, while making reasonable efforts to offer equivalent alternatives.
  • If a change is material and unacceptable to guest, guest may choose to cancel, subject to our cancellation policy.

2.8 Liability Limitation

  • Our liability to guests is limited to direct proven loss or damage, and in no event shall we be liable for indirect, consequential or punitive damages.
  • We shall have no liability for third-party claims (e.g. injury by other guests, external vendors).

2.9 Privacy & Data

  • Guest’s personal information will be used for booking, stay coordination and marketing (with consent).
  • We shall not share or sell personal data to unaffiliated third parties except where required by law.
  • Guest consents to photographs / videos in common areas for promotional usage (unless objected in writing at time of booking).

2.10 Dispute Resolution & Governing Law

  • These terms are governed by the laws of the State of Kerala, India.
  • Any disputes shall first be attempted to be resolved by mutual negotiation / mediation.
  • If unresolved, disputes shall go to [specify jurisdiction, e.g. Courts of Thrissur] for settlement.

2.11 Entire Agreement

  • These terms & conditions, along with booking confirmation and any special agreements, constitute the entire agreement between guest and management.
  • No other oral or written statements or promises (unless expressly included here) shall bind either party.
  • If any clause here is held invalid by a court, the remaining clauses shall continue in full effect.
